Privacy Policy

How we collect, use, store and disclose your personal information — written to be read, not to be skipped.

Certification Made Easy (“CME”, “we”, “us”) respects your privacy. This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

Certification Made Easy is an education and certification consultancy based in Sydney, NSW, founded in November 2022. We provide advisory and referral services to people seeking nationally recognised qualifications and trade licences.

Important: Certification Made Easy is not a Registered Training Organisation (RTO). We operate solely as a consulting agency, providing advisory and referral services to our clients through our trusted RTO partners. This means that when you proceed with a qualification, some of your information is provided to a partner RTO who becomes responsible for it under their own privacy policy. Section 5 explains this in detail.

2. What personal information we collect

We collect only what we need to advise you properly. Depending on how you engage with us, that may include:

  • Contact details — name, email address, phone number, and the suburb or region you live or work in.
  • Enquiry details — the qualification or industry you are interested in, and any message you send us.
  • Employment and education history — your work history, current and previous roles, existing qualifications, tickets and licences. This is necessary to assess whether Recognition of Prior Learning is a realistic pathway for you.
  • Eligibility information — your responses to our Smart and Skilled eligibility questions (age bracket, whether you live or work in NSW, whether you have left school, and your residency status category).
  • Evidence documents — where you engage us for RPL support, this may include identity documents, résumés, reference letters, qualification papers, photographs of your work, payslips and similar records.
  • Reviews — if you submit a review, your first name, rating, review text, the qualification you name, and your email address.
  • Technical information — your IP address is recorded with form submissions as an anti-spam and security measure.

Sensitive information

Some information we handle is “sensitive information” under the Privacy Act — for example, information about your health or disability where it is relevant to study support, or criminal history where it is relevant to a licensing or clearance requirement. We collect sensitive information only with your consent, only where it is directly relevant to advising you, and we handle it with additional care.

3. How we collect it

We collect personal information:

  • Directly from you — through forms on this website, by phone, by email, via WhatsApp, or in person.
  • From documents you provide to us for the purpose of an RPL or enrolment application.
  • Occasionally from a third party you have authorised, such as an employer arranging staff training or a family member enquiring on your behalf.

Wherever practical, we collect information directly from you.

4. Why we collect it and how we use it

We use your personal information to:

  • Respond to your enquiry and conduct your free pathway assessment.
  • Assess whether RPL, gap training or a full course is appropriate for your circumstances.
  • Identify funding you may be eligible for, including Smart and Skilled.
  • Refer you to a partner Registered Training Organisation and support your enrolment.
  • Assist you in preparing evidence for RPL assessment and, where relevant, a licence application.
  • Provide ongoing support until your qualification is complete.
  • Publish approved reviews (first name and qualification only — never your email address or surname).
  • Meet our legal and record-keeping obligations.

We do not use your information for automated decision-making, and we do not sell your information to anyone, at any time, for any purpose.

5. Who we disclose it to

We disclose personal information only in the following circumstances:

  • Partner Registered Training Organisations. When you ask us to refer you, or proceed with a qualification, we provide the RTO with the information they need to assess and enrol you. From that point the RTO is a separate entity handling your information under its own privacy policy — ask us for theirs before you proceed if you would like to read it.
  • Service providers. Our website hosting and email providers process data on our behalf, under obligations of confidentiality.
  • Where required by law. To a court, tribunal, regulator or law enforcement body where we are legally required to do so.

We do not disclose your personal information to overseas recipients as a routine part of our service. Where a service provider stores data outside Australia, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

6. Storage and security

Enquiry information submitted through this website is stored in a database on our web hosting service and transmitted over an encrypted (HTTPS) connection. Access to that database and to our email accounts is restricted to authorised personnel and protected by password authentication.

Evidence documents you provide for RPL purposes are handled with particular care and provided to the assessing RTO only for the purpose you supplied them.

No method of transmission or storage is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

7. How long we keep it

We retain personal information for as long as it is needed for the purposes described above, and thereafter for as long as we are required to keep it by law. Where information is no longer needed and we are not required to retain it, we destroy or de-identify it.

If you enquire but do not proceed, you may ask us to delete your enquiry at any time and we will do so.

8. Cookies and website analytics

This website uses a session cookie to operate its forms securely (specifically, to hold the anti-forgery token that protects submissions). This cookie is essential to the website functioning and contains no personal information about you.

The website loads fonts and JavaScript libraries from third-party content delivery networks (Google Fonts and jsDelivr). These providers may log your IP address as part of serving those files. We use no advertising or cross-site tracking cookies.

If website analytics are enabled in future, this policy will be updated before they are introduced.

9. Direct marketing

We may contact you about your enquiry and, where relevant, about qualifications or funding opportunities that relate to what you asked us about. We do not send bulk unsolicited marketing. You can opt out at any time by replying to any message or calling 0432 507 936, and we will action it promptly.

10. Accessing and correcting your information

You have the right under the Australian Privacy Principles to request access to the personal information we hold about you, and to ask us to correct it if it is inaccurate, out of date, incomplete or misleading.

Email admin@certificationmadeeasy.com.au or call 0432 507 936. We will respond within a reasonable period, ordinarily within 30 days. We may need to verify your identity first. If we decline a request, we will tell you why in writing.

11. Complaints

If you believe we have mishandled your personal information, please tell us first — contact us at admin@certificationmadeeasy.com.au with the details. We will acknowledge your complaint and aim to resolve it within 30 days.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or by phoning 1300 363 992.

12. Changes to this policy

We may update this policy from time to time. The current version is always the one published on this page, with the “last updated” date shown at the top. Material changes will be made clear.
