Cancellation & Refund Policy
What it costs to secure a place, what happens if you change your mind, and how quickly you get your money back — set out in figures rather than in adjectives.
This policy forms part of your enrolment agreement with Certification Made Easy (“CME”, “we”, “us”). It applies to fees payable to us for advisory, placement and enrolment support, and it takes effect the moment you pay a deposit.
Read this alongside your RTO’s own policy. Certification Made Easy is not a Registered Training Organisation (RTO). We operate solely as a consulting agency, providing advisory and referral services to our clients through our trusted RTO partners. Course, tuition and assessment fees charged by the delivering Registered Training Organisation are governed by their refund policy, not this one. We will always tell you which fee is which before you pay anything.
1. Securing your place — the deposit
A deposit of 20% of the course cost is payable to register and secure your place. Your place is not held until the deposit clears.
The balance is payable before the course commences, unless a written instalment arrangement has been agreed with us beforehand. On a $4,000.00 course that means $800.00 to register and $3,200.00 before you start.
Deposits are payable by bank transfer to the account shown on your invoice. Always quote your invoice number as the payment reference so we can match the payment to your file.
2. If you cancel
Cancellations must be made in writing (see section 6). The date we receive your written notice is the date the cancellation takes effect — not the date you decided, and not the date you telephoned.
| When we receive your notice | What you are charged | What comes back |
|---|---|---|
| More than 7 days before the course commences | An administration fee of 10% of the course cost or $350.00, whichever is greater. | Everything you have paid, less that fee. |
| 7 days or fewer before the course commences | The 20% deposit is forfeited in full — or the administration fee, if that is the greater amount. | Anything you have paid above the forfeited deposit. |
| On or after the day the course commences | No refund is payable, and any balance owing remains due. | Nothing. |
The administration fee is not a penalty. It covers work already done and already paid for by the time you cancel — the pathway assessment, the evidence review, the RTO placement, and the administrative cost of unwinding an enrolment that has already been lodged.
Where the fee is larger than your deposit
On lower-cost courses the $350.00 minimum fee can exceed the 20% deposit. Where that happens the difference is payable and we will invoice it. We will always give you the exact figure in writing before we ask you for it.
3. Worked examples
A $4,000.00 course, with the $800.00 deposit paid and nothing further:
| Scenario | Charged | Refunded | Still owing |
|---|---|---|---|
| Cancels 30 days before the start date | $400.00 | $400.00 | $0.00 |
| Cancels 10 days before the start date | $400.00 | $400.00 | $0.00 |
| Cancels 3 days before the start date | $800.00 | $0.00 | $0.00 |
| Cancels the day after it starts | $4,000.00 | $0.00 | $3,200.00 |
Illustrative only. Your own figures depend on your course cost and what you have paid. Ask us and we will put them in writing.
4. Transferring or deferring instead
Cancelling is rarely the best option, and it is usually the most expensive one. Before you cancel, ask us about:
- Deferring to a later start date. Where the RTO permits it, we will move your enrolment once at no charge from us.
- Transferring to a different qualification. Fees already paid to us are credited in full against the new pathway.
Both keep your money working for you. A deferral requested with reasonable notice attracts no administration fee.
5. If we cancel
If we or the delivering RTO cancel or reschedule a course, or if we cannot place you with a suitable provider, you may choose between a transfer to another course and a full refund of everything you have paid us, with no administration fee deducted. That choice is yours, not ours.
The same applies where we determine, after assessment, that the pathway you paid for is not the right one for you. We would rather return your money than take an enrolment we do not believe in.
6. How to cancel
Send written notice to admin@certificationmadeeasy.com.au. Email is sufficient — there is no form to complete. Please include:
- Your full name and the qualification you enrolled in.
- Your invoice number, if you have it to hand.
- The reason, if you are willing to tell us. It is not required and it does not affect your refund — we ask because it is how we improve.
We acknowledge every cancellation in writing within two business days, setting out the exact figures applied and the amount coming back to you.
7. How refunds are paid
Approved refunds are paid within 14 business days of the cancellation being confirmed, by electronic transfer to the account the payment came from. We do not refund to a third party’s account, and we do not refund in cash.
Where you paid by card, the refund is returned to that card. Where a payment plan is in place, the remaining direct debits are cancelled at the same time — you do not have to do that yourself.
8. Your rights under the Australian Consumer Law
Nothing in this policy excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law (Schedule 2 to the Competition and Consumer Act 2010 (Cth)) that cannot lawfully be excluded.
Our services come with guarantees that cannot be excluded, including that they will be provided with due care and skill and within a reasonable time. If we fail to meet those guarantees you may be entitled to a remedy beyond anything set out above, and this policy does not limit that.
9. If you disagree with a decision
Tell us. Email admin@certificationmadeeasy.com.au or call 0432 507 936 and ask for Mahmoud directly. Complaints about a refund are reviewed by the director and answered in writing within ten business days.
If you are still not satisfied you may contact the consumer protection agency in your state — in New South Wales, NSW Fair Trading — or the Australian Competition and Consumer Commission. Using this policy first does not affect that right.
10. Changes to this policy
We may update this policy from time to time. The version that applies to you is the one published on the day you paid your deposit, and we will send you a copy on request. The current version is always the one on this page, with the “last updated” date at the top.
